Let’s meet for a coffee - all 350 of us!​

When someone we’re doing business with says “Let’s meet up at Costa for a coffee”, we assume they mean a quiet one-to-one to discuss a project. We don’t expect it to be a meeting with 350 other people, complete with speakers, presentations and videos. But then we’re not Costa Coffee themselves​.

One of the most familiar brands on the high street, Costa Coffee caters for 22 million customers every month in 2,700 UK stores, with 41,000 staff serving them. Every year, Costa Coffee sells over 380 million cups of coffee. Costa has been a division of Whitbread since 1995, and things have gone well for them since then. They’ve opened stores in Dubai, overtaken Starbucks, entered China and developed Costa Express both nationally and internationally. They opened their 1,000th store in Bangkok, and they now have a £1.167 billion revenue from 3,401 stores, with a net income of £153m globally.

 

 

Overnight delivery

 

Creative Solutions have been working with them all this time, so it was to us they turned to help them put on a Capital Market Day presentation at Nomura Bank. This was to feature eight speakers, five hours of presentations and two videos. The theme was to set out Costa Coffee’s strategy and development to City and world investors, focusing on delivering customer experience, new product ranges and new markets — especially China and Canada.

We were managing the event, the staging and the presentations, and besides ensuring everything went technically flawlessly, this also involves producing 130 slides for the presentations, as well as the two videos.

 

We also needed to produce 350 delegate briefing packs and twelve speaker support script packs — but there was a catch. These couldn’t be printed till the last moment, and we had to spend the night before getting the whole lot done. That was nothing new to us, though, and everything was ready to go well before the delegates and speakers began to arrive.

Streaming around the world

 

A major business event today isn’t just about the delegates in the room, though. There’s interest all round the world, and Costa’s event was no exception. To meet this demand, we arranged live web streaming — from a single laptop. The stream went flawlessly and was viewed around the world.

 

The day was a triumphant success, and Costa were delighted with our organisation. And we were delighted, too. Though we have plenty of experience at Creative Solutions of events of this size and complexity, we always enjoy the challenge of putting it all together and making everything flow smoothly and seamlessly.

 

As George Peppard used to say in The A-Team, “I love it when a plan comes together.”
